Terms and Conditions of Mail collection at Post Offices/ Self-service iPostal Stations
1. POSTING
1.1 Customer can either using EC-Ship platform or other way(s) to post their mail item:
1.1.1 EC-Ship user
  1. Sender can prepare an address label on EC-Ship platform, and print the label before posting the item. Sender shall not make any changes on the printed posting form. In case of necessary amendment, sender shall make the adjustment on the EC-Ship platform and print a new posting form. After preparing the mail items, posting can be made at any post offices, except mobile post offices.
  2. To facilitate barcode scanning, posting form of this service MUST BE printed by laser printer. When the item is posted at post offices, counter officer will test scan the barcode imprinted on the address label. If the barcode fails to be read by barcode scanner, acceptance officer will assign a new item number to the item.
1.1.2 Non EC-Ship user
Sender can write down the recipient’s name(optional), Self-collection of mail items at iPostal Station and Post Offices format (as shown in sub-clause 1.4), and post the mail item at any post offices (includes mobile post offices) or iPostal Kiosk.
1.2 The arrangement is applicable to following mail services:
1.2.1 Local Mails
  1. EC-GET;
  2. Local CourierPost;
  3. Local Parcel;
  4. Local Ordinary Packet (The packet would not be handled if the packet size is not complied with the below size requirement)
    a. The minimum weight OR minimum size limits:
    Weight: 500 g or above
    Dimensions:
    • If the thickness is more than 20mm, the minimum length AND width should meet the requirement of 140 mm x 90 mm or above; OR
    • If the thickness is equal or less than 20mm, either length OR width should exceed 305 mm or above
    b. The maximum weight OR maximum size limits:
    Weight: 2 kg
    Dimensions:
    • length, width and depth combined must not exceed 900 mm, and the greatest dimension must not exceed 600 mm
1.2.2 Inward Mails
  1. EMS;
  2. Inward e-Express+;
  3. Inward Parcel;
  4. Inward Ordinary Packet (The packet would not be handled if the packet size is not complied with the below size requirement)
    a. The minimum weight OR minimum size limits:
    Weight: 500 g or above
    Dimensions:
    • If the thickness is more than 20mm, the minimum length AND width should meet the requirement of 140 mm x 90 mm or above; OR
    • If the thickness is equal or less than 20mm, either length OR width should exceed 305 mm or above
    b. The maximum weight OR maximum size limits:
    Weight: 2 kg
    Dimensions:
    • length, width and depth combined must not exceed 900 mm, and the greatest dimension must not exceed 600 mm

*Hongkong Post does not provide self-collection service for insured mail items. The addressee is required to collect the insured mail at the designated post office by presenting the notification letter issued by Hongkong Post.
1.3 The postage is based on the mail service (regard to point 1.2 above) the sender chooses when posting.
1.4 To use the Mail collection at Post Offices/ Self-service iPostal Stations format probably, sender must provide the following information correctly on the mail item:
1.4.1 A valid iPostal Station code/ three-digit post office code for recipient’s collection.
1.4.2 A valid eight-digit Hong Kong mobile number of the recipient that can receive Collection SMS from HKP
1.4.3 “Hongkong Post” / 「香港郵政」and “Hong Kong” / 「香港」 must be appeared on all inward mail items.
1.4.4 Provide a valid return address for sender (iPostal Station / Post office is not valid return address)
1.4.5 Mail collection at Post Offices/ Self-service iPostal Stations format must be typed or legibly written as in the examples given below:

1.5 When the posting is completed, the iPostal Station/ post office at location appears on the mail item will be confirmed as the collection point of the mail item, change of collection location or delivery information is not allowed. HKP will not accept requests forwarding or delivering the item to another post office, iPostal Station or any other locations.
1.6 iPostal Station and post office are not considered a proper return address. Any mail items bearing a return address in the format of iPostal Station or post office could not be returned.
1.7 HKP shall not be responsible for any failure or delay in sending the SMS caused by any inaccurate or incomplete information provided by sender, or any technical issues.
1.8 When the mail item has arrived at the selected location, HKP will issue Collection SMS with password to the recipient’s Hong Kong mobile phone to notify him/ her that the item is available for collection at the selected iPostal Station or post office. HKP does not bear any loss that caused by incorrect or invalid information provided by sender.
1.9 Upon the receipt of the Collection SMS with password from HKP that notifying an item is available for collection at the selected iPostal Station or post office for verification when collecting the mail item. The recipient shall keep the Collection SMS and password confidential and shall not disclose it to any third party before collecting the mail item from the selected iPostal Station or post office. HKP shall not be liable for any loss, damage or expense suffered or incurred as a result of or incidental to the loss or disclosure of the password to any third party by the recipient.
1.10 HKP will not provide signed proof of delivery, and the mail item is deemed deliver when:
1.10.1 HKP issues the Collection SMS to the recipient’s Hong Kong mobile phone number with a password (which is used to unlock the iPostal Station or being an identification to post office staff), and
1.10.2 The designated iPostal Station is unlocked and opened using the password provided; or
1.10.3 The collector is identified by post office staff for the corresponding mail item.
1.11 Uncollected item or mail category is not applicable to use the self-collection service will either be returned to the sender, or be treated as undeliverable and disposed if the sender address is not given.
2. iPOSTAL STATION COLLECTION
2.1 With the format as described in sub-clause 1.4.5, HKP will deliver the mail item to the corresponding iPostal Station or its nearby post office under this Terms and Conditions of service. HKP will issue Collection SMS to collect such mail item at the selected iPostal Station.
2.2 The mail items will be made available for collection at the selected iPostal Station for a period of 48 hours from the Collection SMS sent time. If the recipient fails to collect the mail item within the period stipulated, or such other period as may be stipulated in the Collection SMS, the mail item will be moved from that selected iPostal Station to its nearby post office for counter collection (expect EMS items which will be delivered to the delivery address appeared on the EMS items).
2.3 A new Collection SMS with a password will be sent to the recipient. S/he shall provide the Collection SMS, the password and corresponding item number for verification when collecting the mail item at the nearby post office. The recipient shall keep the Collection SMS and password confidential and shall not disclose it to any third party except in cases when the recipient authorizes a representative to collect the mail item on his/ her behalf as described in sub-clause 1.11 (for mail types applicable to iPostal Station service) before picking up the mail item from the nearby post office. HKP shall not be liable for any loss, damage or expense suffered or incurred as a result of or incidental to the loss or disclosure of the password to any third party by the recipient.
2.4 Any mail item which is not collected within retention period as described in sub-clause 2.5 after the date of the item reached the nearby post office will be returned to the sender (if applicable) or treated as undeliverable and arranged for disposal. Please refer to Post Office Guide and the Terms and Conditions of respective mail service for its retention period.
2.5 Any parcel remaining unclaimed at the expiry of 7 working days from date of the parcel reaching the nearby post office shall be liable to demurrage charge. Please refer to the Post Office Regulations (Cap. 98, sub. leg. A) for details.
2.6 HKP will deliver the mail item to the available locker of selected iPostal Station only if the dimension of the mail item can fit in available locker (suggested the max. size of item is within 38(L) x 45(W) x 26(H) cm). Oversized mail items, expect EMS items which will be delivered to the delivery address appeared on the EMS items, will be sent to the nearby post office for collection within the respective retention period.
2.7 HKP reserves the right to review and amend the list of iPostal Stations and their nearby post offices from time to time and make changes thereof without any or prior notice to sender and/ or recipient and/ or any third party.
2.8 HKP reserves the right to shut down the iPostal Station facilities for any reason including ir/regular maintenance. HKP shall not be liable for any loss or damage suffered, whether by the recipient or any third party, as a result of such closure.
2.9 The mail item will be delivered into the selected iPostal Station by priorities, the highest priority is EMS, the second priority is Local CourierPost, the third priority is Parcel, the fourth priority is EC-GET, and the last is Ordinary Mail.
2.10 If no locker is available at the chosen iPostal Station, the addressee will be notified by an SMS message that the chosen iPostal Station is full. They may change the collection point by following the instructions therein (applicable to certain HKP services only).
2.10.1 Keeping the original choice of collection point:
The mail item will be held for 2 working days to wait for a vacant locker. If no locker is available after 2 working days, the mail item will be sent to a nearby post office for collection.
2.10.2 Choosing another iPostal Station for collection (e.g. changing from iPostal Station A to iPostal Station B):
(i) If a vacant locker is available at the addressee’s updated choice of iPostal Station (iPostal Station B), the mail item will be sent to that iPostal Station accordingly. The addressee may collect the mail item within 48 hours after the SMS message for collection is sent.
(ii) If no locker is available at their updated choice of iPostal Station (iPostal Station B), the mail item will be held for 2 working days to wait for a vacant locker. If no locker is available after 2 working days, the mail item will be sent to a post office near the iPostal Station of their original choice (iPostal Station A).
2.11 iPostal Station service is not guaranteed to be always available. In the event including, but not limited to the following:
2.11.1 the mail item(s) do not fit into the locker of selected iPostal Station in accordance with the condition mentioned in sub-clause 1.2;
2.11.2 all the suitable lockers at the selected iPostal Station location are not available; or
2.11.3 iPostal Station is not available for any reason, including but not limited to reasons such as the system being out of service or shut down for maintenance.
2.12 iPostal Station service is not applicable to unpaid or underpaid items or items subject to surcharge and items in a damaged condition. All unpaid or underpaid items and items in a damaged condition will be processed in accordance with the prevailing practice. Please refer to the relevant sections of Post Office Guide.
2.13 Please to here for iPostal Station locations and their corresponding nearby post offices.
3. POST OFFICE COLLECTION
3.1 For mail items to be collected at post office, HKP will issue Collection SMS to the recipient to collect such mail item at the selected post office.
3.2 Customer can collect the mail items at counter office with designated retention period according to different mail types.
3.3 If recipient fails to collect the mail item within the period stipulated upon to the Collection SMS sent date, will be returned to the sender (if applicable) according to the available return address, or treated as undeliverable and arranged for disposal.
3.4 HKP shall not be liable for any loss, damage or expense suffered or incurred as a result of or incidental to the loss or disclosure of the password to any third party by the recipient.
3.5 HKP reserves the right to review and amend the list of post office from time to time and make changes thereof without any or prior notice to sender and/ or recipient and/ or any third party.
3.6 HKP shall have the right to shut down the post office facilities for any reason. HKP shall not be liable for any loss or damage suffered, whether by the recipient or any third party, as a result of such closure.
3.7 Post office collection service is not applicable to unpaid or underpaid items or items subject to surcharge and items in a damaged condition. All unpaid or underpaid items and items in a damaged condition will be processed in accordance with the prevailing practice.
4. COMPENSATION
4.1 HKP gives no warranty or representation for and is not legally liable for the loss, damage, delay, non-delivery or mis-delivery if anything sent by post, whether insured or not, or to pay compensation in respect of an insured packet (letter or parcel) or its contents.
4.2 The decision of HKP on all questions of compensation shall be final and conclusive.
5. MODIFICATION
5.1 HKP is entitled to delete, suspend or amend any or all of these Terms and Conditions of service at its absolute discretion at any time and from time to time. The amended Terms and Conditions of service will be effective immediately upon its posting on the Hongkong Post webpage. If the sender or recipient continues to use the service after the amendment, the sender or recipient agrees or will be deemed to agree to be bound by these Terms and Conditions of service. In this regard, the sender or recipient is strongly advised to read these Terms and Condition of service carefully each time before posting.
6. PERSONAL DATA
6.1 Provision of personal data in response to Hongkong Post’s request is mandatory for provision of the required service. All the posting details including the personal data collected from sender will be used for mail handling. If customer does not provide the mandatory personal data, Hongkong Post will be unable to provide the required service.
6.2 Hongkong Post will not be legally liable for any loss or damages arising or caused by any accidental disclosure or divulgence by Hongkong Post or its employees or delivery agents in the course of the release or transfer of any person’s personal data to any party.
6.3 Customer has the right of access and correction with respect to personal data as provided for in sections 18 and 22 and Principle 6 of Schedule 1 of the Personal Data (Privacy) Ordinance.
7. OTHERS
7.1 Hongkong Post reserves the right to amend the above terms and conditions without prior notice. In the case of dispute, the decision of Hongkong Post shall be final.
7.2 In the event of any ambiguity or inconsistency between the English version and the Chinese version of these terms and conditions, the English version shall prevail.
